The buyer decision
Judge mandatory fit gates separately from preference scores, excluding demo-confidence scoring and vendor-evaluation workflow steps.
Criteria & methodologyA mandatory requirement should not disappear inside an average feature score. A product can offer many desirable features while failing the one capability needed for the buyer’s actual operating model.
Use a selection gate for requirements whose absence prevents the intended use. Keep optional preferences in a separate comparison.
Distinguish three requirement classes
| Class | Decision meaning |
|---|---|
| Mandatory | Required for the intended use |
| Conditional | Required only under a stated operating condition |
| Preferred | Useful but not necessary |
This is an editorial framework, not a procurement standard or numeric benchmark. The buyer’s accountable owner determines which requirements belong in each class.
A preference should not become mandatory simply because one vendor’s demonstration emphasizes it. A genuine gate should be explainable through the intended use.
Include edition and configuration
LearnUpon documents sub-portals as plan-dependent. If distinct client portals are mandatory, a generic LMS feature statement cannot establish fit without the corresponding entitlement.
Ziflow documents different proof exports with edition-specific availability. If a particular exported record is necessary, another export format should not receive an automatic pass.
These are examples of scoped requirements, not recommendations that every buyer needs those products or capabilities.
Keep unknown separate from failure
An unresolved requirement is not established fit, but it is also not proof that the product lacks the capability. Record the missing evidence, proposed edition and question requiring resolution.
For a mandatory gate, leave the candidate conditional until sufficient evidence exists. Optional benefits do not compensate for an unestablished mandatory capability.
If an alternative arrangement can satisfy the actual need, revise the requirement openly. Do not quietly change the gate after seeing which vendor would otherwise fail it.
Make the shortlist explainable
Write the reason for every gate in plain language. Record whether each candidate meets it in the proposed configuration and which limits remain.
Compare preferences only among candidates that satisfy the intended use or have explicitly accepted conditions. Avoid fabricated precision from weighted totals.
