The buyer decision
Choose a functional equipment-register replacement or stay, excluding cheapest-tool rankings and implementation architecture.
Criteria & methodologyAn equipment spreadsheet replacement should solve a named record problem. If a controlled register already answers the required questions, moving the same rows into a product may add little functional value.
Define whether the gap concerns current custody, future reservations, competing bookings or maintaining item identity. This is a functional alternatives guide, not a cheapest-software ranking.
Three possible routes
| Route | Useful when | Evidence still required |
|---|---|---|
| Keep a controlled spreadsheet | Requirements are simple and maintained | Clear identity, ownership and update responsibility |
| Evaluate Snipe-IT | Asset and checkout records are the principal gap | Actual import and custody model |
| Evaluate Shelf | Future equipment bookings are the principal gap | Reservation and conflict behavior |
The routes are conditional, not ranked recommendations.
Inspect migration assumptions
Snipe-IT documents CSV asset imports, including the need to create custom fields before importing their values. A CSV file is therefore not proof that every spreadsheet column will become the intended product field automatically.
Its overview describes check-in and checkout. Evaluate that record model if the spreadsheet’s central problem is knowing who currently holds equipment.
Shelf documents booking conflicts, including distinctions for identified assets and quantity-tracked equipment. That is relevant when the missing job is committing equipment for future use.
These sources do not establish that either product meets every required field, permission or deployment preference.
Evaluate a small sample first
Use harmless sample items, including similar names, a custom field and an item currently assigned to someone. Ask the supplier to demonstrate the intended import and record interpretation.
If bookings are required, add a future reservation and extend the current commitment into it. Inspect the resulting state rather than assuming a imported inventory list supplies booking capability.
Compare the same questions against the controlled spreadsheet. Record the material gap the replacement actually resolves. No migration or product test has been carried out here.
Stay where the register fits
Keep the spreadsheet when it adequately represents the required records and the business can maintain it. Choose a product when a demonstrated capability resolves a recurring functional problem.
