The buyer decision

Choose asset lifecycle management, configuration dependencies or both, without confusing discovered inventory with maintained authority.

Criteria & methodology

Choose IT asset management when the urgent question is what the organisation owns, pays for or has assigned to somebody. Choose a configuration management database when the urgent question is which service depends on a component and what could be affected by changing it. Many platforms offer both; that does not make the two records interchangeable.

This comparison is for a buyer defining scope before buying a tool. It is not a list of interchangeable asset scanners, nor a claim that every small organisation needs a CMDB. The practical decision is which questions must have maintained answers and who will keep those answers current.

The record decides the category

An asset might have an owner, cost centre, warranty, contract and disposal record. A configuration item has operational significance and relationships to other items or services. A laptop can be both. A business service can matter to a CMDB without being a separately purchased physical asset.

Our shortlist uses official product and documentation sources. It covers different starting points rather than declaring five equivalent bundles. No hands-on deployment, discovery completeness or cost-saving result is claimed.

ServiceNow: evaluate both disciplines, not one checkbox

ServiceNow documents software allocation records and separately defines CI relationships. That distinction is useful for an organisation needing both financial/lifecycle management and service context.

Ask the proposed implementation team to show one asset in both views, including reconciliation and ownership. A CMDB populated with devices is not yet a maintained service model. Equally, a relationship graph does not prove that the software installed on those devices is correctly licensed. Establish product packaging and implementation scope before comparing a quote with simpler inventory tools.

Freshservice: investigate the service-workflow boundary

Freshworks describes its CMDB around configuration information and relationships. Freshservice’s software licence workflow addresses a different administrative requirement.

This route deserves attention when service work and asset investigation need to happen in one operational environment. Request the actual current ITAM and CMDB entitlement, discovery arrangement and reconciliation process. Device42 is discussed in the current ITAM upgrade FAQ; do not assume an old standalone comparison describes today’s offer.

ManageEngine AssetExplorer: start from assets, then test dependency needs

AssetExplorer describes inventory, software licence management, lifecycle and CMDB features. It is a credible starting point when ownership and lifecycle are the immediate purchase driver but configuration relationships also matter.

Cloud and on-premises implementations are separate evaluation choices. Ask whether the dependency view you need is discovered, imported or manually maintained. A list of all machines at a location is not equivalent to evidence that a customer-facing service depends on a specific instance.

Ivanti: treat the product combination as part of selection

Ivanti Neurons for ITAM is an IT asset-management direction. Its software integration documentation shows why the connected software, contract and entitlement products must be examined explicitly.

It is appropriate to evaluate when financial and lifecycle records are the main problem. If service dependencies are also mandatory, require a demonstration of the proposed configuration-management component rather than assuming that an ITAM purchase includes the whole operating model. Initial data loads, connectors and ongoing data ownership belong in the proposal.

Lansweeper: improve the evidence feeding either category

Lansweeper offers asset discovery and intelligence. Its Freshservice integration is an example of supplying that evidence to another operational system.

That can be the right purchase when the missing ingredient is reliable discovery rather than another workflow database. It is not a reason to discard the system that owns custody, procurement or service decisions. Ask how identifiers are matched and how duplicate or stale discoveries are handled before treating imported rows as authoritative.

A demonstration that exposes the difference

Use a fictional laptop, database host and billing service. First return the laptop and reassign it: can the buyer still explain custody and cost? Next propose retirement of the database host: can the service owner see the affected dependency and challenge an outdated relationship?

A tool that answers only the first question may meet a small team’s actual needs. Do not buy a CMDB merely because it sounds more mature. A tool that answers only the second still needs a source for purchasing and assignment facts. When both matter, evaluate their reconciliation, not the number of populated rows.

Costs and a sensible choice

Compare discovery charges, asset or CI counting rules, software-management modules, connectors and implementation effort. Include the staff time needed to maintain owners and relationships. None of these products removes the need to decide who can correct a record.

Start with ITAM for custody, licences, cost and retirement administration. Add or prioritise CMDB capability for operational dependency and change-impact questions. Consider discovery as an enabling component, not automatically a replacement for either.

For reservable equipment, the closer decision is asset management versus equipment booking. For physical maintenance and customer service jobs, see CMMS versus field service management; neither should be stretched into an IT service dependency register without a real requirement.
