The buyer decision
Choose a functional proofing replacement or stay, excluding cheaper-alternative economics and creative workflow design.
Criteria & methodologyA Filestage replacement should resolve a specific review-model gap. Changing products because another vendor also offers comments can leave the same unresolved requirement in a new interface.
Start by identifying the missing behavior: reviewer decisions, version context, external media sharing or another demonstrable capability. This is a functional alternatives guide, not a cheaper-software analysis.
Three realistic directions
| Direction | Reason to evaluate | Requirement still needing proof |
|---|---|---|
| Keep Filestage | Current review model already fits | Correct settings and package for the actual requirement |
| Evaluate Ziflow | Its proof and reviewer-decision model may fit better | Proposed roles, versions and edition |
| Evaluate Frame.io | Media-sharing model may address the missing need | Required decision record, access and export behavior |
No route is a universal winner. A replacement should solve the identified gap under the proposed configuration.
Check the existing configuration first
Filestage documents reviewer-group permissions and requesting review decisions. If the issue is how a particular group participates, inspect those settings before concluding that replacement is necessary.
That does not mean every missing requirement can be configured away. Keep the gap explicit if the documentation and demonstration do not resolve it.
Two alternatives with distinct evidence
Ziflow documents proof review, version comparison and decisions. Evaluate it where that proof-centered model matches the requirement.
Frame.io’s current V4 Shares guide documents external media sharing, comment/download controls and visibility of all versions or only the latest. These are V4 facts; older legacy Review Link guides should not be silently applied to the current product.
The cited share scope does not establish equivalence to every Filestage approval record. Request proof of any mandatory decision or archive requirement.
Compare the unresolved job
Use the same harmless file versions and participant conditions in the current product and alternatives. Ask each supplier to show the missing behavior, including an earlier revision and a reviewer who has not responded.
Inspect the record that remains after the review ends. Do not mistake a supplier’s general sharing demo for proof of a required formal decision.
Stay when the gap is resolved
Keep Filestage if its demonstrated configuration meets the requirement. Switch only when an alternative resolves a material functional gap and the buyer understands remaining limits.
