The buyer decision

Choose the category by decision-record purpose, excluding electronic-signature vendor rankings and legal validity advice.

Criteria & methodology

Choose online proofing when participants need to review content, leave feedback and identify a decision about a file version. Choose an electronic-signature direction when the required record concerns an agreement being signed.

An approval button and a signature field are not interchangeable merely because both can indicate a person’s decision. Start with the record the business needs to retain.

The category choice does not determine legal validity. The buyer’s qualified owner determines any agreement-specific legal requirements; this guide compares software record purposes.

Documentation makes the distinction concrete

Ziflow’s review guide describes markups, comments, versions and reviewer decisions. That is content-review scope.

Adobe documents downloading an audit report for an Acrobat Sign agreement. That is an agreement-related record rather than a creative revision conversation.

These examples are not a vendor shortlist or a statement that every product fits every signing or review need. Confirm actual package capabilities and the record contents.

Evaluate the record you must retrieve later

Use harmless sample content. For proofing, ask a supplier to show the approved revision and the decision associated with it. Change the file and inspect whether the earlier decision remains distinguishable.

For an agreement requirement, ask for a demonstration of the intended agreement record and downloadable event report using a fictional document. Do not treat a screenshot of a signature as proof of all required evidence.

If the business needs both, establish whether the products represent separate records and who decides when the reviewed content becomes the agreement sent for signing.

If that decision establishes a signing requirement, compare e-signature alternatives by workflow rather than treating a proofing approval as a replacement. The shortlist is the next vendor decision; the required agreement record still comes first.

Keep category boundaries visible

A review tool is not automatically an agreement-signing system. A signing tool is not automatically a convenient place to annotate media revisions. Select for the actual decision rather than adding an approval field to the wrong record model.
